How we collect, use and protect your information for the Seasons of Giving Calendar Raffle 2026.

The Rotary Club of Westshore (Victoria) ("the Club", "we") runs this raffle under BC Gaming Event Licence #177611. We collect only what we need to run the raffle, meet our licence requirements and, if you choose, keep in touch. We follow British Columbia's Personal Information Protection Act. We never sell or rent your information.

What we collect, and why

When you buy online

  • Your eligibility confirmation. Before checkout you confirm you're 19 or older and in BC. We record that confirmation with the date and time, your IP address and the approximate region it comes from (for example, "British Columbia"). This is backup evidence that tickets were sold only to eligible buyers, as our licence requires.
  • Your order. Our payment processor, Stripe, collects your name, email, mailing address and payment details. We receive your name, email, address and order details, which we use to assign your ticket, email you a scan of it and handle questions. We never see or store your full card number.

When you buy in person

Card payments go through a Stripe card reader. We see the amount and the last four digits of the card, not your name or full card number. We don't collect names on ticket stubs.

When you register your ticket

Your name, ticket number(s), email address, phone number if you give it, and your 19+ and in-BC confirmation. We use them to email you raffle updates and the daily winning numbers, and to contact you if a registered number wins. If you tick the optional boxes, we'll also add you to our list for future Rotary West Shore fundraisers, or have a member send you information about Rotary membership.

When you ask about Rotary

If you use the "Interested in Rotary?" form, we collect your name, email, and anything else you choose to share (phone, community, interests, message). Club members use it only to follow up with you about Rotary.

When you claim a prize

Your name, winning ticket number, a photo of your ticket, mailing address and phone number, and for prizes over $100, a signed prize receipt. Our licence requires us to keep a record of each winner's name, contact details and prize.

Winners' names

Our licence requires us to make winners' names, ticket numbers and prizes available to the public. Winning numbers are posted at rotaryseasonsofgiving.ca, and winners' names are added once prizes are claimed. By claiming a prize, you consent to the release of your name. Some winners may also be shared on the Club's social media.

Emails, and how to stop them

  • Raffle update emails go only to people who register. Every email has an unsubscribe link, and the list is cleared after the claim deadline (March 24, 2027).
  • We send emails about future fundraisers only if you ticked that optional box. Unsubscribe at any time.

Who else handles your information

We use these service providers, which may store information outside Canada (including in the United States):

  • Stripe: online and in-person payments
  • Tally: the registration, prize claim and Rotary interest forms
  • Google Workspace: our email, mailing lists and raffle records
  • Cloudflare: hosts this website and counts visits without cookies or personal tracking
  • Google Analytics and Meta (Facebook and Instagram): only if measurement cookies are on (see below)

Cookies

We don't need cookies to run the raffle. We may use two measurement tools, and both follow the same choice:

  • Google Analytics shows us how people find and use this site, such as which pages they visit and where they came from. It's set to shorten your IP address. If you're signed in to Google, Google may also estimate general information such as age range and interests, which we see only as anonymous totals.
  • The Meta Pixel measures our Facebook and Instagram ads and lets us show raffle reminders to people who have visited this site. Meta receives information such as the pages you visit here and your browser details, under Meta's privacy policy.

When these are in use, we tell you with a small notice when you first visit. You can opt out there or at any time below. We never send Google or Meta your name, ticket numbers, email address or payment details. Our ads are not directed at anyone under 19.

How long we keep it

Raffle records, including eligibility confirmations, orders and prize records, are kept as long as BC gaming rules require (at least five years for prize records), then securely deleted. Registration emails for raffle updates are deleted after the claim deadline unless you opted in to future emails.

Your choices

You can ask to see or correct the personal information we hold about you, or withdraw consent to optional emails, by writing to calendar@rotarywestshore.com. Some records must be kept under our licence even if you ask us to delete them.
